Direct Bill has developed a very unique filtering
program that enables the user to access both filtering
criteria as well as the data filtered. Direct Filter
was developed for the purpose of returning data
records that were missing information such as address
lines, patient account numbers, zip codes, account
balances, etc. The returned information is formatted
using our data interfaces for the host system, returned
via secure ftp transfer, then uploaded into the
host program. By eliminating invalid data records,
organizations can:
Improve cash flow by eliminating
wait time of inaccurate record information
Improve data records of
current A/R
Some of the filters now available online for
agencies are:
BALANCE FILTER
New for 2005, Direct Bill offers balance filters.
The administrator can maintain balance criteria
for Direct Bill to look forward. If a debtor record
meets a criteria set by the administrator, the record
will be placed in the rejection data file marked
“ balance filter” tab delimited text
file from Direct Process. The changes made to the
control table are real-time, meaning; changes take
effect as soon as the update button is pressed.
Organizations use this filter primarily to remove
zero balance and low balance accounts from active
letter files.
CUSTOMER SERVICE
REPRESENTATIVE FILTER
Organizations assign their customer service representatives’
numbers, usually from (01-100). In formatting, we
have found that debtors respond better if they have
a name to ask for when they call in. Direct Bill
can use a referenced numbered list to assign real
names to those numeric values for simplicity (ex.
01 will be changed to Marie Chattersworth).
New for 2005, Administrators can now control
a master list of customer service representatives
and their control numbers on-line. The changes
made to the control table are real-time, meaning;
changes will take effect as soon as the update
button is pressed.
STATE COMPLIANCE
FILTER
Within the legal arena today, many states vary their
notification requirements, especially in regard
to the wording necessary to remain in compliance.
While this requirement can be challenging, Direct
Bill has developed a solution.
Direct Bill has developed the “Verbiage
Filter,” which will alter the content of
your letter, depending on the state you are mailing
to. In many cases, the altered verbiage comes
from the 30 Day disclaimer usually located at
the bottom of the notice.
New for 2005, Administrators can now alter the
verbiage, what is changed, how it is changed,
and when it is changed on-line. Under “Direct
Filter,” administrators can completely control
the variables and specifics necessary to stay
in state compliances across the country.
STATE FILTER
Although our Direct Correction software does its
job in locating those debtors who skip town without
telling you, it does present a potential hazard.
As some states across our country require licensing,
bonds, or both, some organizations may have legal
constraints collecting from a debtor in those states.
Therefore, if Direct Correct v2.0 returns a new
address in a state where an agency is not licensed,
problems could arise.
New for 2005, Administrators can now control
a master list of states that can and cannot be
mailed to. Those states that are marked for “closed”
will be returned in the “Closed State”
tab delimited text file from Direct Process. The
changes made to the control table are real-time,
meaning; changes will take effect as soon as the
update button is pressed.
VERBIAGE FILTER
New for 2005, Direct Bill offers advance verbiage
filters. The administrator can maintain the list
of words or phrases to look for within the data
uploaded. The administrator can also control what
Direct Bill is to do with such records. If the administrator
wants to reject the debtor record, the record will
be placed in the rejection data file marked “verbiage
filter” tab delimited text file from Direct
Process. The changes made to the control table are
real-time, meaning; changes take effect as soon
as the update button is pressed. Organizations use
this filter primarily to remove bad debtors marked
by their clients. Examples of words commonly used
for search criteria are:
BANKRUPT
DECEASED
HOMELESS
NO INSURANCE
NO ADDRESS
LISUOUANA
PBOX
POOOBOX
TXAS
WELFARE
